This Privacy Policy explains how United Lanes LLC, doing business as HeyoEmail.com ("Heyo," "we," "us," or "our") collects, uses, and shares information when you use our cold email software platform (the "Service"). We are based in Lincoln, Nebraska.

1. Two Kinds of Data We Handle

It's important to understand there are two categories of personal data connected to the Service:

  • Your account data — information about you as our customer (name, email, billing info, login credentials). For this data, Heyo is the "data controller" — we decide how it's used.
  • Your leads' contact data — the names, emails, and other details you upload about the people you intend to email. For this data, you are the controller and Heyo acts only as a processor/service provider on your behalf. We do not decide who gets contacted, verify consent, or use your lead lists for our own purposes.

2. Information We Collect

A note on our role: Heyo is a software tool. We don't select who our customers email, and we don't write their message content — those decisions belong entirely to the customer using their own connected accounts. Where this policy discusses "lead/contact data," that data is supplied and controlled by our customers, not by us.

From you directly:

  • Account information (name, business name, email, password)
  • Billing information (processed via our payment processor; we do not store full card numbers)
  • Lead/contact data you upload (names, emails, company info, custom fields)
  • Campaign content (sequences, message templates, subject lines)
  • Support communications

Automatically:

  • Usage data (features used, login times, actions taken in the dashboard)
  • Device and browser information, IP address
  • Cookies and similar tracking technologies on our website and app

Via connected accounts:

  • When you connect a Microsoft Exchange account through OAuth, we access the permissions you grant (typically: send mail, read mail, manage folders) to operate the Service. We do not access connected account data for any purpose beyond providing the Service to you.

3. How We Use Information

We use collected information to:

  • Provide, operate, and maintain the Service (sending campaigns, managing warmup, aggregating your unibox)
  • Process billing and manage your subscription
  • Provide customer support
  • Monitor for abuse, spam complaints, and activity that risks our sending infrastructure
  • Improve and develop the Service
  • Communicate with you about your account, updates, or policy changes
  • Comply with legal obligations

We do not sell your account data or your uploaded lead data to third parties, and we do not use your lead lists to market to those contacts ourselves.

4. How We Share Information

We share information only in the following circumstances:

  • Service providers: hosting infrastructure, payment processing, email delivery/monitoring tools, and customer support tools — each bound by confidentiality and data protection obligations
  • Microsoft: to the extent necessary to operate connected accounts via the Microsoft Graph API
  • Legal requirements: if required by law, subpoena, or valid legal process, or to protect the rights, safety, or property of Heyo, our users, or the public
  • Business transfers: if Heyo is involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction

5. Data Retention

We retain account data for as long as your account is active and for a reasonable period after closure to comply with legal, accounting, or dispute-resolution obligations. Uploaded lead data is retained until you delete it or close your account, after which it is deleted from active systems within 30 days, subject to backup retention cycles.

6. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure, including encryption in transit and access controls on connected account credentials. No system is completely secure, and we cannot guarantee absolute security.

7. Your Choices and Rights

  • You may access, update, or delete your account information by contacting us or through your account settings.
  • If you are a recipient who received an email sent through the Service and wish to be removed from a customer's list, please use the unsubscribe link in that email or contact the sender directly — Heyo does not maintain a public opt-out portal for third-party recipients, but will forward such requests to the relevant customer upon request.
  • Residents of certain states (e.g., California) may have additional statutory rights regarding their personal information; contact us at hi@heyoemail.com to make a request, and we will respond consistent with applicable law.

8. Children's Privacy

The Service is intended for business use by adults. We do not knowingly collect personal information from individuals under 18.

9. Cookies

Our website and dashboard use cookies and similar technologies for authentication, analytics, and functionality. You can control cookies through your browser settings, though disabling them may affect functionality.

10. International Use

The Service is designed for and operated from the United States. If you access the Service from outside the U.S., you understand your information will be transferred to and processed in the United States.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a new "Last Updated" date and, for material changes, provide additional notice (e.g., by email).
